Terms & Conditions

By placing an order on promo.octovianexus.com you agree to the following terms.

1. Pricing & payment

  • All prices are in Namibian Dollar (N$) and inclusive of VAT where applicable.
  • Prices are subject to change without notice; the price at time of order is final once confirmed.
  • We accept bank transfer (EFT) and cash on collection. Orders are processed once payment is received and confirmed.

2. Branding & custom orders

  • Custom-branded orders require artwork approval before production. You are responsible for the accuracy of submitted artwork (text, colours, logo placement).
  • Production lead times are estimates and may vary based on supplier stock and branding complexity.
  • Branded items cannot be returned or exchanged unless defective.

3. Delivery

  • Delivery times are estimates: 3-7 business days for standard items, 7-14 for custom-branded.
  • Risk passes to you on delivery. Please inspect goods on receipt and report any damage within 24 hours.
  • Local pickup is available from our Windhoek facility by appointment.

4. Returns & refunds

  • Stock items in unused, original packaging may be returned within 7 days of delivery for a refund (less return shipping).
  • Branded / custom items are non-returnable except for manufacturing defects.
  • Refunds are processed to the original payment method within 14 business days.

5. Stock availability

Stock levels shown are pulled from our supplier network and may change. If an item becomes unavailable after you order, we will contact you to arrange a substitute or refund.

6. Limitation of liability

To the extent permitted by Namibian law, our liability for any claim is limited to the value of the goods supplied. We are not liable for indirect or consequential losses.

7. Governing law

These terms are governed by the laws of the Republic of Namibia. Any dispute will be resolved in Namibian courts.

Ordering, quotes, artwork & cancellations

  • Quotes: written quotes are valid for 14 days unless stated otherwise. Website and cart orders are subject to written confirmation by us.
  • Stock & payment: we accept EFT. Stock is reserved and production begins only after payment has cleared. Supplier pricing and exchange rates may change until an order is confirmed.
  • Artwork approval: you are responsible for checking your artwork proof — spelling, colours, dimensions and logo placement — before approving it. We are not responsible for errors reproduced exactly from an approved proof.
  • Artwork rights: when you send us a logo or design, you are telling us your business holds the rights (or permission) to reproduce it — we brand on that basis.
  • Colour variance: screen colours, proofs and final branded colours may differ; exact colour matching is only guaranteed when agreed in writing.
  • Cancellations: before artwork is prepared, an administration fee may apply. After layouts or proofs are produced, the layout cost is payable. Once branding or production has begun, orders cannot be cancelled.
  • Rush & event deadlines: flag your in-hand date on the quote request. A deadline binds us only once we have accepted it in writing.
  • Product substitutions: where a supplier item is discontinued or unavailable, we may offer a comparable substitute for your approval.
